Collecting consent: Admin set up

Record explicit consent from meeting invitees before joining

Updated over 3 weeks ago

This guide is intended for Modjo administrators who want to enable the Recording Consent Collection feature.

Once activated, this feature automatically displays a message to meeting participants informing them that the conversation may be recorded, ensuring transparency and compliance with data protection regulations (such as the GDPR).

⚠️ Please note: This feature only applies to meetings created after it has been activated. It does not apply retroactively.

What is this feature for?

Enabling this feature allows you to:

  • Inform participants that the meeting may be recorded

  • Ensure transparency and compliance with privacy regulations

  • Avoid misunderstandings about recordings that were not clearly announced

Step 1 . Activate consent collection

  • Ask your Account Manager to activate the Collect consent feature.

  • Enable the option “Collect recording consent”

  • (Optional) Customize your data privacy link that will be shown to attendees on the consent page.

💡 Once the admin and user setup is complete, a banner will automatically appear at the beginning of each relevant meeting.

Step 2: Activate the consent flow in calendars

Google calendar:

🚨 To deploy the Modjo Consent Flow add-on across your organization, you must be a Google Workspace Admin.

Install the add-on:

  • Go to the Modjo Consent Flow add-on in the Google Workspace Marketplace

  • Click Install and follow the steps to authorize the required permissions

Enable data access for users:

  • Log in to the Google Admin Console at admin.google.com

  • Go to: Apps > Google Workspace Marketplace Apps > Apps list

  • Select Modjo Consent Flow from the list of installed apps

  • Under Data Access, click Grant Access so users can activate the add-on

Microsoft Outlook calendar:

This integration is coming soon! You’ll soon be able to enable the same experience in Microsoft Outlook.

Step 3: Final user configuration

Once the admin setup is complete, each user must finish their configuration by following a dedicated setup guide. This includes:

  • Connecting their calendar to Modjo

  • Adjusting their consent preferences

  • Understanding how the consent form is triggered for each meeting
