Want to ensure GDPR compliance and build trust with your prospects and clients? Modjo's automated email reminders make it easy to inform participants about meeting recordings.

Why is this important?

Transparency is key to a healthy sales relationship. Informing participants that a meeting will be recorded demonstrates respect for their privacy and ensures compliance with data protection regulations like GDPR.

How Modjo's Email Reminders Work:

Modjo can automatically send a customizable email reminder 10 minutes before a meeting starts. This email notifies participants about the upcoming meeting and informs them that it may be recorded for training purposes.

Here's the default email your contacts will receive once the feature is activated

I. Activate the Feature:

  • Go to your Workspace Settings.

  • Navigate to the "Advanced" tab.

  • Toggle the "Reminder Email" feature to "On."

II. Personalize Your Message:

  • In the "Reminder Email" block, click "Edit."

  • Customize the email content to match your brand voice and communication style. Be clear and upfront about the recording.

  • Click "Save" to apply your changes.

  • Use the "Receive a Test Email" button to preview your customized reminder before it's sent to contacts.

Important Notes:

Reminders are sent for meetings where:

  • The host has a Modjo recording license and has connected their Google/Outlook Calendar.

  • The meeting is not marked as "Internal."

  • At least one external contact has accepted the meeting invitation.

Go the extra mile:

  • Be upfront: Consider adding a mention of recording in the meeting subject line or the first paragraph of the email for increased visibility.

  • Explain the "why": Briefly explain the purpose of recording (e.g., for training and improvement purposes) to foster understanding.
