The AI CRM Filling Prompt Library is a built-in resource that gives you a fast and easy way to add effective, pre-tested prompts to your AI CRM Filling templates. Whether you need to capture basic “next steps” or complex qualification data, our prompt library is organized by use cases to help you hit the ground running.

The Prompt Library is a curated collection of ready-made instructions (prompts) you can attach to any CRM field in your AICF templates. These prompts are tied to use cases, such as:

By using a pre-tested prompt, you save time crafting AI instructions from scratch and help ensure accurate data extraction in your CRM.
2. Accessing the Prompt Library
You can access the Prompt Library directly in the AI CRM filling template creation flow:
Create or edit a template under Settings > AI CRM Filling.
Select or add a CRM field you want to fill with AI.
In the “Write your prompt” step, you’ll see a button labeled Example Prompts.
Clicking on Example Prompts opens a modal that displays a list of use cases and the prompts used for each use case.
3. Browsing and Selecting Prompts
Choose a Use Case
On the left, you’ll find categories of use cases
When you click a category, you’ll see relevant prompts in English (or French, if your template is set to French).
Preview & Select
Each prompt has a brief title or description explaining its purpose (e.g., “Extract the budget details and constraints”).
Click on a prompt to insert it into your text area automatically.
A confirmation message (toast) appears to let you know the prompt was copied successfully.
Customize if Needed
Once the prompt appears in your text area, feel free to edit or refine it to match your specific product, sales motion, or CRM layout.
Tip: You can run the “Test your prompt” feature right after inserting a prompt to see how it performs on a real call.
4. Use Case Examples & Sample Prompts
Below are some of the key use cases you’ll find in the prompt library, along with representative prompts for each. You can select any of these directly within the library.
Budget & Financial Details
Prompt:
“Detail the budget that can be allocated for the solution. Does the prospect have financial resources to commit? If not, what are their budget expectations? Be specific.”
Focus:
Extracting cost figures, budget constraints, and final approval details.
Capturing any mention of timelines for budget sign-off.
Next Steps / Action Items
Prompt:
“Extract specific next steps following this call, detailing key information such as dates, owners of tasks, and deadlines. Use a bullet list in Markdown format.”
Focus:
Summarizing immediate follow-up tasks
Listing who is responsible (the prospect, the AE, the manager, etc.)
Prospect Needs & Pains
Prompt:
“List all the challenges the prospect mentioned regarding [WHAT YOU’RE SOLVING]. Include difficulties, struggles, and any negative consequences. Use a bullet list in Markdown format.”
Focus:
Capturing primary pain points
Understanding the impact on their business
Decision Criteria
Prompt:
“Extract the prospect’s decision criteria for choosing [COMPANY NAME]. Include budget constraints, required features, stakeholder preferences, compliance needs, and any integration or support expectations. Use a bullet list in Markdown format.”
Focus:
Distilling the main drivers behind a “Yes” vs. “No” purchase decision
Capturing any non-negotiable requirements
Company Structure & Context
Prompt:
“Detail the prospect’s company structure: number of departments, total employees, international presence, hierarchy, who decides, who executes, and any subsidiaries. Use bullet points for clarity.”
Focus:
High-level overview of the organization’s layout
Key stakeholders and possible sign-off processes
5. Tips for Customization
Combine Prompts
You can merge two prompts into one if you want to collect multiple data points in a single CRM field (e.g., “Budget + Next Steps”).
Keep it concise to avoid confusion and ensure the AI’s response fits character limits.
Refine Wording
Feel free to add brand or product context directly in the prompt if needed (e.g., “Include references to our Premium plan or the standard package.”).
Test Often
Use the “Test your prompt” feature to see how well the AI extracts data from calls. Tweak the wording until you get clear results.
Language Selection
If your calls are primarily in English, choose English prompts from the library. For French calls, adapt prompts to French.
Use “Overwrite” Wisely
For text fields, you may choose to overwrite existing CRM data or only fill empty fields. Pair your prompt with the correct sync option to avoid accidental data loss.
