1. Automatic vs. Manual Sync

When a call finishes, the AI automatically applies any matching template(s). Depending on the setup of the template, the filling of the CRM fields will either be:

  • Automatic: the data extracted by the AI goes straight to the CRM. No action needed.

  • Manual: the suggestions made by the AI to fill the fields need to be reviewed (and edited if needed) and confirmed in order to be sent to the CRM. Note that only call participants, managers, and admins are authorized to manually validate the information of a call.

2. Spot AI suggestions from AI CRM filling after your calls

After your call has been processed, there are several places where you will find information about what AI CRM filling has done for you and what still needs to be done.

  • Notifications: after each call, you will receive a notification via your preferred tool (Modjo, Slack, email) containing AI-generated suggestions for updating your CRM (manual push notifications on Modjo v. manual and automatic push notifications on Slack or through email). Simply click on the notification to review the recommendations.

  • Modjo App: in your call list or call details page: a CRM info panel shows the fields AI CRM filling has automatically filled (in case of automatic synchronization) and also tell you how many fields you need to review in case of manual synchronization.

  • Directly in Your CRM:

    • If your manager or admin has enabled the automatic synchronization of CRM fields, you can directly find the content in your CRM., the data will appear without additional steps.

    • In case of manual synchronization, the information will appear in the CRM only after they have been manually reviewed in Modjo (more information about how to manually review your CRM fields below).

⚠️ If your template is a match for a call that isn’t yet associated with your CRM object (either contact, account or deal), then we won’t be able to push the fields in your CRM.

However, if a deal, contact or account is created after the call, the configured fields can be synchronized to your CRM within 24 hours:

  • In case of automatic synchronization, the information will be pushed within a short timeframe automatically (no manual action needed from you).

  • For fields requiring manual validation, these will also be immediately available in Modjo, ready to be reviewed and sent to the CRM.

Salesforce specificity: for your lead object, be mindful that once you turned a lead into a deal / contact / account then fields associated to the lead will no longer be editable.

3. Review & Validate Fields (Manual Synchronization)

If a field is set to manual synchronization then the information need to be validated before being sent to your CRM.

💡 Only call participants, managers, and admins are authorized to manually validate the information of a call.

  • Find calls where fields need to be manually validated: you can use the “pending CRM information” toggle (this toggle will filter on calls with pending CRM fields to validate and / or calls for which there is a missing CRM association) to spot calls needing manual review. You can also directly access a specific call needing review from your notifications center.

  • Check the CRM Info: a sidebar shows each field’s suggested value. For each field, you will see:

    • The field name

    • The type of CRM entity it refers to (Account, Opportunity, Contact, Lead)

    • The AI suggestion based on the conversation

  • Adjust or Dismiss:

    • If correct, accept as is.

    • If you want to tweak something, just click into the field and edit the text

    • If wrong, you can uncheck the CRM field so it isn’t part of the fields that will be pushed to your CRM.

  • Click “Send to CRM”: Your updates are sent and you will be able to find them in your CRM.

  • Confirmation: You’ll see a quick confirmation that your CRM is updated.

4. Tips & Best Practices (Manual Synchronization)

  • One-click confirm: If you trust the AI’s output, you can push to CRM instantly without opening the call in detail from your home or explore menus.

  • Stay consistent: If you see repeated suggestions from the AI that aren’t correct, let your Modjo admin or manager know: the prompt for this field probably needs to be refined !

  • Keep track: Updated fields appear in the “CRM Information” section of the call after submission.
