Improve the association between Modjo calls and your CRM

Are you struggling to locate a specific call in Modjo due to a missing CRM contact? This often happens when the contact was not present in your CRM before the call.

Modjo streamlines the process of associating calls with CRM contacts, ensuring effective data management and better traceability of your interactions.

1. How does automatic association work?

When Modjo is connected to your CRM, it automatically links calls to matching CRM contacts. However, if a contact wasn’t recorded in your CRM at the time of the call, Modjo cannot establish this link.

Let's explore how this feature makes it easier to link Modjo calls with CRM contacts, either automatically or manually.

2. Automatic nightly contact synchronization

💡 This feature is available for all six of our integrated CRMs: Salesforce, HubSpot, Pipedrive, Zoho, Microsoft Dynamics, and Sellsy.

To ensure optimal alignment between calls and CRM contacts, Modjo performs nightly synchronizations:

  • Every night: We check and link CRM contacts created within the last seven days.

  • Every weekend: We extend the check to cover the past 30 days for a broader update.

If a contact is added to your CRM after a call, it will be automatically linked to Modjo during these synchronizations.

3. Manual association from the call details page.

🚨 Available only for HubSpot and Salesforce CRMs.

If automatic synchronization isn’t sufficient, or you need immediate linkage, you can manually associate your calls:

A. Check the contact on the call details page:

Click on the phone number or email address displayed in Modjo. A dropdown menu will appear.

B. If the contact was created after the call:

Click "Refresh Contact". Modjo will synchronize immediately, though this may take a few moments.

C. If the contact doesn’t exist in your CRM:

  • Click "Create a Contact in Salesforce" (or HubSpot).

  • You’ll be redirected to your CRM’s contact creation form.

  • Complete and submit the form, then return to Modjo and click "Refresh"

Once completed, the call will be linked to the new CRM contact, and all relevant CRM information (name, company, etc.) will appear in Modjo.

4. Manual association from the call list

🚨 Available only for HubSpot and Salesforce CRMs.

This feature works similarly to the call details page but allows you to manage multiple calls simultaneously:

  • Navigate to the call list in Modjo.

  • Select the calls you want to update.

  • Refresh their information to synchronize them with your CRM in bulk.

This method is especially efficient for handling a high volume of calls that require manual updates or associations.

5. Tips to avoid association issues

  • Regularly sync your CRM: Ensure your contacts are updated before making calls or hosting meetings.

  • Standardize formats: Use consistent formatting for phone numbers and email addresses to avoid errors.

  • Check meeting invitations: Include the correct email addresses to enable automatic associations.
