Find out how Modjo Recorder works, a feature that automatically records your meetings on Google Meet and Microsoft Teams, while respecting data protection rules.

1. How Does the Modjo Recorder work?

The Modjo Recorder automatically joins and records meetings on Google Meet and Microsoft Teams, provided it has access to your company calendar.

This recording bot is invited to events and connects to the video conference at the start of the meeting to initiate recording.

2. Accepting or declining the recording

When the Modjo Recorder attempts to join a meeting, an alert message will notify you. You can then choose to accept or decline its participation:

  • Accept: The Modjo Recorder will record the meeting and later import it into Modjo.

  • Decline: The Recorder will not join, and the meeting will not be recorded

3. Disabling the Modjo Recorder during a meeting

At any point during the meeting, you can end the recording by disabling the Modjo Recorder.

To do this, simply go to the participants list, select the bot, and disable it.

This option ensures confidentiality by allowing you to stop recording if sensitive information is shared or if a participant requests not to be recorded.

4. Informing Participants of the recording

According to legal requirements, all participants must be informed of the recording at the start of the meeting.

On Google Meet, you can use the Reminder Email feature, which sends an automatic message to participants 10 minutes before the meeting, informing them of the upcoming recording.

5. Customization and visibility options for the Modjo Recorder

From the Organization Settings, you can:

  • Customize the image and background of the Modjo Recorder.

  • Restrict recordings by specifying email domains to exclude.

To comply with GDPR, the following message is displayed during the meeting: “[Modjo User’s First Name] is recording this call for note-taking purposes.”

You can also rename the Modjo Recorder, for example, “[Your Company’s Name] Recording Bot” to clearly indicate that recording is in progress.

Visual Recording Indicator: There is no visible label during the recording. However, you can configure the Modjo Recorder’s name to clarify that recording is taking place.

6. Modjo Recorder or deprecated integrations

Using the Modjo Recorder is optional. You can choose to rely on the standard Google Meet and Microsoft Teams integrations, where recordings are handled by these platforms before being imported into Modjo.

7. Import Time for Recordings

  • With the Modjo Recorder: The recording is imported into Modjo within five minutes after the meeting ends.

  • With Google Meet and Microsoft Teams Integrations: Importing takes longer and depends on the meeting duration.

8. Activating the Modjo Recorder

To set up the Modjo Recorder, visit the integrations page or reach out to your account manager for assistance. Once activated, the bot only records external meetings, meaning those that include at least one participant from outside your organization.

💡 For clients opting for Modjo's recorder feature, it replaces current Google Meet and Teams integrations used to import recordings into Modjo.
